The problem
Every lesson was booked by phone, then written into an instructor's personal diary. Double bookings happened weekly, cancellations were handled ad hoc, and no-shows were absorbed as lost revenue because there was no deposit mechanism. The office spent an estimated 18 hours a week on scheduling calls alone. Students, mostly aged 17 to 25, expected to book a slot the way they book a haircut or a cinema ticket, and a measurable number of enquiries dropped off after being told to 'call back tomorrow morning'. There was also no structured way to present intensive courses, theory support or pass-rate evidence.
What we built
We built a course catalogue covering intensive, weekly and refresher packages, backed by a real-time instructor availability calendar. Students pick an instructor, see live open slots, pay a deposit or the full course fee by card, and receive automated confirmations and reminders. Instructors get their own login with a mobile-friendly diary and one-tap completion marking. Rescheduling rules and a deposit-forfeit window are configurable by the office. Pass-rate statistics, instructor profiles and student reviews were given prominent pages to build trust, with schema markup so courses can appear as rich results.
“The diary runs itself now. Instructors see their week on their phone and we haven't had a double booking since.”
